Billing Profiles
A billing profile is a reusable payer record — legal name, contact and address details — so the same billing party never has to be retyped on every invoice.
What a profile holds
| Section | Fields |
|---|---|
| Basic info | Name (the only required field), Company Legal Name, Registration Number, Tax Identification, Contact Person Name, Email, Phone. |
| Address | Street Address, Address Line 2, City, State/Province, Postal Code, Country. |
| Notes | A free-text billing notes area. |
Name is the only required field — everything else is optional, and a blank optional field is simply left off the profile. If Email is entered it must be a valid email; if Phone is entered it must be a valid phone number. A profile left without a name is listed under its company legal name instead.
Browsing and searching
The list shows each profile's name, company legal name, email and country, with a keyword search box above it. An empty-state message shows when the firm has no profiles yet, or when a search matches nothing.
Adding, editing and deleting
- Adding or editing opens the same dialog — blank for a new profile, pre-filled for an existing one. A successful save shows a confirmation, closes the dialog and refreshes the list; a failed save keeps the dialog open with an error.
- Deleting opens a confirmation dialog naming the profile being removed. Nothing changes until that confirmation is given.
Who can manage profiles
Creating, editing and deleting billing profiles is limited to users who manage billing for the firm. Without that access, the page is read-only: the list and search still work, but the Add action and the per-row Edit and Delete actions are not shown at all.
Where to go next
A billing profile is one of the three things an invoice needs, alongside a currency and a printed template — see Financial. The payer details it carries usually mirror an existing Contact, and it sits alongside the firm's other setup tabs in Settings and Customizations.
